This is complex, responsible and administrative work under general supervision of the Leisure Services Manager. Primary duties include budgeting, financial management, scheduling, answering the telephone and customer service. Additional responsibilities include maintaining department files, records; and processing purchase orders and invoices. Employees in this class are required to exercise initiative and independent judgment in performance of assigned tasks. Work is reviewed through conferences, oral/written reports and results obtained. Employee must exercise tact and courtesy in frequent contact with citizens, employees, elected officials, and representatives of internal and external organizations and agencies. Reports to the Leisure Services Manager. Performs related work as required. Assists with scheduling of facilities, parks by inputting reservations into the department calendar and collecting rental and program fees. Provides assistance to the Special Events and Marketing Coordinator in processing City Facility Use Agreements, Park permits, Special Event and Parade applications. Generates a Daily Deposit which is sent to Finance Dept. Enters user fees into computer and tracks monthly tenant lease payments. Receives, counts, balances, validates and reports checks and negotiable instruments for payment of rentals, deposits, fees and other related items for the City. Receives and responds to questions, concerns and complaints of citizens. Receives calls and visitors; directs to appropriate entities. Performs general administrative/office duties as required, including conducting and attending meetings, preparing reports and correspondence, entering computer data, copying and filing documents, answering the telephone, etc. Maintains filing system; performs sorting, grading, verifying, filing, and/or retrieving department office documentation. Operates a variety of office equipment, such as a computer, printer, calculator, copier, fax machine, typewriters, computer terminals, copy machines. Answers telephones and greets visitors, providing information based on considerable knowledge of City-wide programs and procedures, and/or refers callers to proper officials, as appropriate; records and relays messages, as appropriate. Prepares purchase orders, and maintains open purchase orders; prepares check requisitions to facilitate payment of accounts; prepares requisitions for office supplies; and handles the billing. Maintains continual budget records. Performs other related work as required.
EMERGENCY DECLARATION STATUS: Essential Employees may be required to work during an undeclared emergency and/or declared emergency. On an incident-by-incident basis, the employee’s Division Manager will make the determination as to who will be required to work.

Ability to communicate effectively both orally and in writing. Ability to exercise tact and courtesy in contact with City officials and the general public. Exercise immediate remedial action to correct any quality deficiencies that occur in areas of responsibility. Skill to maintain effective and efficient output of all duties and responsibilities.
ESSENTIAL PHYSICAL SKILLS: Must be physically able to operate a variety of machinery and equipment, including computers, typewriters, calculators, copiers, facsimile machines, etc. Must be able to exert up to twenty (20) pounds of force occasionally, and/or up to ten (10) pounds of force frequently, and/or a negligible amount of force constantly to move objects. Physical demand requirements are in excess of those for Sedentary Work. Light Work usually requires walking or standing to a significant degree. However, if the use of arm or leg control requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work.
